Vendor Requirements & Setup

  • There's no set fee to join us as a vendor. We keep participation open to every successfully selected maker because we never want cost to stand between you and our community. If you'd like to give something to help support the day and the local arts programming it funds, you're warmly welcome to contribute whatever feels right to you. Any amount, big or small, is deeply appreciated, and there's absolutely no pressure. What matters most is having you here with us.

  • You will receive a designated outdoor space on the scenic library grounds. The Over Here Event Team assigns exact booth locations to ensure great visitor flow and excellent visibility for your goods.

    1. Bring your own setup essentials and any point-of-sale (POS) systems you need to process transactions. If you need extra equipment, Over Here can rent a 10x10 pop-up tent, tables, and chairs to you for the day to keep your setup easy.

  • Arts By The Pond takes place on Saturday, September 19, 2026, from 12 to 5 PM. As one of our makers along the maker trail, you won't be left guessing about timing or setup. We'll send you a detailed schedule ahead of the event, with plenty of lead time to plan your arrival and settle in without any rush. That way, you can set up comfortably, connect with fellow makers, and feel completely ready to welcome our first visitors. We want your day at the pond to start with ease, so you can focus on what you do best: sharing your creativity with our community.

  • Yes, all vendors must carry $2 million in liability insurance. If you do not already have an annual policy, we will provide a link to purchase a single-day policy through Duuo Insurance.

Important Vendor Requirements

  • Space Allocation: Each vendor receives a designated 10' x 10' outdoor space on the scenic library grounds. Booth locations are determined by the Over Here Event Team.


  • Booth Setup: You are welcome to bring your own setup essentials, including your tables, chairs, 10x10 pop-up tent, and any point-of-sale (POS) systems needed to process transactions. If needed, Over Here can also rent tents, tables, and chairs to you for the day.


  • Liability Insurance: All vendors must hold liability insurance with a minimum coverage of $2 million.

    • Need coverage? If you do not already have an annual policy, you can purchase affordable short-term insurance through our partner, Duuo Insurance. Single-day coverage costs about $30. A link to get set up with Duuo will be sent to the successful applicants.
