If your submission is successful Please ensure you follow these guidelines:

•Artists and artisans must handle the drop-off and pick-up of their artwork or crafted items.

•All pieces must be display-ready or properly prepared for hanging upon delivery.

ARTIST FAQ'S

  • When your artwork sells, we’ll send your payment via e-transfer. After deducting the agreed-upon gallery fees or commissions, your earnings will be processed and sent to you, within 30 days of the sale.

  • Artists will be informed well in advance about the drop-off dates for their artwork. We carefully plan and organize exhibitions to ensure smooth coordination. You will receive an email with all the details, outlining the delivery window, which is the afternoon of June 7th.

Please provide the details for each piece you are submitting. We will use this information to create your display tags and manage sales.


Each Submission below needs to contain:


Title of artwork or craft 

  • Enter the official name of your submission.

Description 

  • Provide a brief description of the piece, its subject, or your inspiration.

Medium:

  • Specify the materials or techniques used (e.g., Oil on canvas, wheel-thrown clay)

Dimensions (in inches):

  • Provide the Height x Width x Depth (e.g., 16" x 20" x 2").

Selling Price:

  • Enter your final retail price. Please review the pricing guidelines below first..

Important Pricing & Commission Guidelines

Before finalizing your prices, please note how sales are processed during the event:

  • Commission: Over Here retains a 20% commission on all sales to help fund and operate the community event.

  • Taxes (HST): Over Here does not apply Harmonized Sales Tax (HST) to your items at checkout. If your business requires you to collect HST, you must build it directly into your listed selling price.

Please set a price that ensures you take home your desired amount after the 20% commission and any necessary taxes are deducted.

Submission Agreement

By submitting your artwork, you agree to the following terms:

  • Over Here will take a 20% commission for any sales of submitted work made within the gallery.

  • The artist is responsible for the transportation of the artwork to and from the venue on the dates determined for each show.

  • Submitted pieces must be original and not infringe upon the intellectual property rights of others.

  • All submitted work is subject to selection and not all submissions will be displayed.

  • Provide a brief description of the products or services you will offer.

  • Double-check all contact information for accuracy.

COSTS ASSOCIATED WITH BEING A VENDOR

VENDOR FEE - a participation fee of $50 is required for all vendors

SPACE ALLOCATION - Each vendor will be assigned a 10' x 10' outdoor space on the library grounds. Locations will be determined by the Over Here Event Team.

BOOTH SETUP - Vendors must supply their own setup essentials including tables, chairs, tents, and any point-of-sale systems needed.

Please ensure you meet all the requirements to secure your vendor spot at Arts by the Pond. We’re excited to have you join us for a fantastic event!

VENDOR FAQ'S

  • We strive to review all applications as quickly as possible. Vendors will receive a response about their application status a few days after the submission deadline.

  • After being approved as a vendor, you will receive payment instructions. We accept multiple payment methods, including cheques, credit/debit cards, and bank transfers. To confirm your reservation, full payment must be made.

  • Once your vendor application has been approved and your payment processed, we’ll send you an electronic receipt directly to your email. Please ensure the email address provided is valid for billing purposes.

    Need a paper receipt? No problem! Simply request it in advance, and we’ll have it ready for you.

    If you have any questions or need assistance, don’t hesitate to contact us at heather@overhere.ca. We’re here to help make your vendor experience seamless and successful!

  • Vendors are welcome to collaborate with like-minded businesses and share a booth space. However, each individual seller must have the required insurance. Sharing a booth can be a cost-effective way to participate and showcase your products or services. Please indicate in your application if you plan to share a booth and provide details about your booth partner.

Welcome to the Arts By The Pond vendor application! We are thrilled to provide a welcoming platform for local creators, artisans, and makers to share their unique products and connect with our vibrant community.

Product Details

Important Vendor Requirements

  • Vendor Fee: Participation is free for all successful applicants.


  • Space Allocation: Each vendor receives a designated 10' x 10' outdoor space on the scenic library grounds. Booth locations are determined by the Over Here Event Team.


  • Booth Setup: You are welcome to bring your own setup essentials, including your tables, chairs, 10x10 pop-up tent, and any point-of-sale (POS) systems needed to process transactions. If needed, Over Here can also rent tents, tables, and chairs to you for the day.


  • Liability Insurance: All vendors must hold liability insurance with a minimum coverage of $5 million.

    • Need coverage? If you do not already have an annual policy, you can purchase affordable short-term insurance through our partner, Duuo Insurance. Single-day coverage costs about $30. A link to get set up with Duuo will be sent to the successful applicants.
